Call recordings and transcripts. When our AI receptionist answers your business line, the call is recorded and transcribed so we can send you an accurate summary and help the service improve.

Caller details. We capture the caller's name, phone number, and the reason for their call — the same things a human receptionist would write down.

Your account information. When you sign up, we collect your contact details and billing information (processed by our payment provider) so we can set up and run your service.

We use this information to do one thing: provide the service you paid for. That means answering your calls, texting you summaries after each call, booking appointments when callers request them, and keeping your account running.

We may use call transcripts internally to improve accuracy and fix issues, but we don't use your customers' information for marketing, and we don't contact your callers for our own purposes.

Calls handled by the service are recorded. Where the law requires it, the recording is announced to callers at the start of the call. You are responsible for letting your team know that calls on your forwarded line are recorded.

We do not sell your information or your callers' information to anyone. Data is shared only with the service providers needed to operate the product (telephony, transcription, payment processing), and only to the extent needed to run the service.

Call recordings and transcripts are retained while your account is active so you can refer back to them. If you cancel, we delete your call data within 90 days unless you ask us to delete it sooner. Billing records are kept as required for tax and accounting purposes.

You can ask us to access, correct, or delete your data at any time. Email hello@getsmoothoperator.com with your request and we'll take care of it — usually within a few business days.

California residents (CCPA): You have the right to know what personal information we collect, to delete it, and to opt out of any sale or sharing of your personal information.
